Bulk Documents

Bulk Documents uploads a document to many employees at once, rather than attaching it to one record at a time.

When to use it

  • A policy or handbook going to everybody
  • Annual statements where each person gets their own file
  • A batch of signed contracts coming back from an e-signature process
  • Historical records being loaded during a migration

For a single employee, attach the document to their record instead. This tool exists for volume.

Check before you send

Bulk means the mistake is bulk too. Two things to confirm:

Is it the right file, in final form? A document attached to hundreds of records is attached hundreds of times. Correcting it means removing and re-uploading at the same scale.

Is the recipient list right? Sending a document to more people than intended is the version of this mistake that matters — particularly for anything containing personal or salary information.

Send to a small group first and confirm it landed where you expected before running the full batch. The same discipline as bulk data import, for the same reason.

Documents that need signing

Where a document requires a signature, it appears in the employee's own queue and in the approver's — the dashboard's "Documents for you to sign" and "Document approvals". Sending in bulk therefore creates work for other people, so it is worth telling them it is coming.

Where the file comes from

For a document you issue repeatedly, keep the wording in Document Templates rather than in a file on someone's desktop. Then bulk upload is distribution, not authorship.
