Your employee profile
Your profile is the record everything else in KAMI reads from. Your pay is calculated against the wage on it, your leave against the dates on it, your contributions against the numbers on it. Keeping it right is the highest-value ten minutes you will spend in the system.

Changing your own details raises a request
This is the part that surprises people, so it comes first.
When an administrator edits somebody's profile, the change is made immediately. When you edit your own, KAMI raises an update request instead, which goes to an approver.

Some changes are configured to approve automatically, and you will be told when that happens. The rest wait. So a detail you corrected this morning is not necessarily corrected — check that the request went through before relying on it.
The approvers for your profile are shown on the page, so you know who it is waiting on.
Making a change
- Open My Profile.
- Click the field or section you want to change — editable fields are click-to-edit.
- Enter the correction.
- Add a description or comment explaining it. An approver seeing a changed bank account with no explanation will reasonably hesitate.
- Attach supporting evidence where it exists — a request can carry attachments, and a new marriage certificate or ID makes the approval obvious rather than a judgement call.
- Where the change should start from a particular date rather than immediately, set an effective date.
- Submit.
💡 One change per request, with its reason attached. A single request bundling an address, a bank account and a surname is one decision for the approver and one rejection for you if any part of it is queried.
What is on the profile
Your profile is split into tabs. Which you see depends on your rights, and KAMI hides what you cannot use rather than greying it out — so a tab a colleague has and you do not is a rights difference, not a fault.

The fields that cause real problems when wrong
Most profile fields are administrative. These four are not:
Bank and payment details. Wrong details delay your pay by a pay cycle, not by a day. Check them when you join and whenever you change bank.
Statutory ID numbers — TIN, SSS, PhilHealth, Pag-IBIG. Contributions are reported against these. A blank or mistyped number can go unnoticed for months and is tedious to unpick afterwards. They also appear on your payslip, which is a convenient place to spot a mistake.
Your wage and wage period. You cannot usually change these yourself, but you should check them. Every figure on your payslip is derived from them — see Understanding your payslip.
Your start date. Leave accrual and length-of-service calculations run from it.
Documents
The Documents tab holds files kept against your record — contracts, certificates, identification.
Documents carry visibility levels, and not every document on your record is visible to you: some are marked confidential, private or restricted and are limited to specific roles. If you are looking for a document you know exists and cannot find it, ask HR rather than assuming it was never uploaded.
Notifications
The Notifications tab controls what KAMI tells you about. You can always reach your own, whatever your other rights.
Turning notifications off does not stop the underlying thing happening — an approval you are no longer emailed about is still waiting for you. See Notification settings.
Audit
The Audit tab is the history of changes to your record: what changed, when, and who changed it.
It is worth knowing this exists. If a detail is not what you remember setting, the answer is here rather than in anyone's memory.
What Happens Next
- A submitted change waits as pending approval until an approver acts, unless it is set to approve automatically.
- Approved changes apply to your profile, and from the effective date if you set one.
- Rejected changes leave your profile exactly as it was.
- Once applied, downstream calculations use the new values from the next time they run — an approved wage change does not alter a payslip that has already been calculated.
- Every change is recorded in the audit history against whoever made it.
Tips
- Do this in your first week. Contact details, emergency contact, bank details, statutory numbers. Every one of them fails quietly and at the worst possible moment.
- Check, do not assume, that a change went through. Pending is not approved.
- Attach evidence when you have it. It converts an approval from a judgement into a formality.
- Use the effective date for anything that starts on a known day, rather than remembering to submit it on the morning.
- Check your statutory numbers against your payslip. They are printed there, which makes a mistake easy to catch.
- Tell someone when your circumstances change, rather than only updating the field. A new address may need a payroll or tax consequence handled that the field alone does not trigger.
Troubleshooting / FAQ
Q: I changed a field and it still shows the old value. The change is a request awaiting approval. Your profile is unchanged until it is approved.
Q: Who approves my changes? The approvers are shown on your profile page.
Q: My change was rejected. Nothing was applied. Ask the approver what they needed — usually an explanation or supporting document.
Q: I cannot edit a field at all. Not every field is employee-editable. Wage, employment and organisational fields are normally administered for you.
Q: A tab is missing that a colleague has. That is a rights difference. KAMI hides what you cannot use.
Q: A document I know exists is not in my Documents tab. Documents have visibility levels, and some are restricted to particular roles. Ask HR.
Q: My profile says something I never entered. Check the Audit tab — it shows what changed, when, and who changed it.
Q: I changed my bank details, which payslip will use them? The next calculation. A payslip already calculated is not revisited.
