Onboarding Wizard

The Onboarding Wizard is where you design the new-hire onboarding checklist — the steps someone works through when they first join.

What it is for

Onboarding is the same set of tasks every time, and doing it by email means it is done differently by every manager and forgotten under pressure. The wizard makes it one checklist that every joiner gets.

It is also the point where you collect the information only the employee has — the details that otherwise show up weeks later as gaps in Missing Data.

Design it short

The most common mistake is putting everything in it. A new joiner completing their first day faces a long form, abandons it halfway, and you end up chasing anyway.

Better to ask:

  • What do we genuinely need before their first payroll? Bank details, tax number,

statutory identifiers.

  • What only they can tell us? Emergency contacts, personal details.
  • What can wait? Anything that can be collected in week two should not block day one.

Everything else belongs elsewhere — a policy to acknowledge, a document to sign, a training module.

It only works if they can get in

The wizard is completed by the employee, so it depends on them having activated their account. A joiner who never activated never sees the checklist, however well designed.

Check Invites & Activation if completions are lower than your intake.

Keep it current

Review the wizard when:

  • A statutory requirement changes — a new identifier becomes mandatory
  • You keep chasing the same field — that is a sign it belongs in the wizard
  • A step is always skipped — either it is unclear or it is not really needed
