LMS certificates

Certificates

A certificate is the record that someone completed a learning path. It carries an ID, and it can expire — which is what makes it useful for anything that needs periodic renewal.

How certificates work

A certificate template belongs to one learning path. When a learner completes that path, a certificate is issued against their enrolment.

SettingPurpose
TitleWhat appears on the document
DescriptionAdditional text printed on it
Template fileThe document template used to render it
Validity monthsHow long it is valid — blank means no expiry

Each issued certificate has a certificate ID, which is what someone quotes when verifying it.

Validity is the setting that earns its keep

💡 Set validity months for anything that genuinely needs refreshing — safety, compliance, regulated procedures. A certificate with no expiry says the person did the training once, which is true and often not what you need to know.

An expiry gives you something to report on: who is certified now, rather than who was ever certified. Without it, a certificate from four years ago looks identical to one from last week.

A certificate is only as good as the assessment behind it

This is worth being blunt about. A certificate is issued on path completion, and completion means every module was marked done.

⚠️ If the path's assessments have no passing score, any score passes — so a learner can answer everything wrongly, complete the path, and be issued a certificate. If you intend the certificate to evidence competence, set passing scores on the assessments first. See Module content and assessments.

How to set one up

  1. Open the learning path in Team learning.
  2. Add a certificate template: title, description and template file.
  3. Set validity months if it should expire.
  4. Confirm the path's assessments have passing scores.
  5. Complete the path yourself and check the issued certificate renders correctly.

What Happens Next

  • Completing the path issues a certificate against the enrolment.
  • The certificate carries an ID and, if configured, an expiry.
  • Learners can see their certificates in My Learning.
  • Re-enrolling someone and having them complete again issues a new certificate — which is how annual refreshers work.

Tips

  • Check the rendered certificate before anyone earns one. Template problems — a missing name, an overflowing title — are only visible on a real issued document.
  • Set an expiry on anything regulated, and diary the renewals. Nothing in KAMI chases an expiring certificate.
  • Make sure the assessments actually gate it. A certificate backed by an unscored assessment is worse than none, because it looks like evidence.
  • Keep the title precise. "Fire Safety Awareness — 2026" is verifiable; "Training Certificate" is not.
  • Do not delete a path that has issued certificates. Close it instead, so the record survives.

Troubleshooting / FAQ

Q: A learner completed the path but got no certificate. That path has no certificate template configured.

Q: The certificate shows wrong details. Check the template file and the title and description on the template.

Q: When does a certificate expire? After its validity months. Blank means it never expires.

Q: How do we handle annual recertification? Re-enrol the learner; completing again issues a new certificate.

Q: Can we verify a certificate someone shows us? Yes — each has a certificate ID.
