What is worth templating
Anything you produce more than a handful of times a year:
- Employment contracts, by employment type
- Offer letters
- Confirmation letters at the end of probation
- Certificates of employment
- Disciplinary correspondence
The test is whether the document is substantially the same each time. If it is rewritten from scratch every time, a template will not help.
Why it matters beyond convenience
Templates are a consistency and compliance control, not just a time-saver. When contracts are written ad hoc, clauses drift — one person's contract says something different from another's, and nobody notices until it matters.
A template means the wording was agreed once, by whoever should agree it.
Keep them under review
Templates go stale quietly. Worth checking when:
- Employment law changes — a template written two years ago may no longer be compliant
- Your policies change — a contract referencing a policy that no longer exists
- Someone raises a question — if one person asked, the wording is probably unclear
Update the template as well as the individual document, or you will fix the same problem repeatedly.
Issuing them
For one person, generate from their record. For many at once — a policy update going to everybody, or a batch of contracts — use Bulk Documents.
